GALLERY INSTRUCTIONS

OPENING THE GALLERY / HANDLING SALES / CLOSING UP THE GALLERY
 
 

OPENING THE GALLERY:

  • Arrive ten to fifteen minutes before your shift begins
  • Open the combination lock (_ _ - _ _ - _ _)
  • Turn off the alarm
1. Enter the gallery after unlocking the combination lock.
2. To deactivate the alarm, enter _ _ _ _ on the alarm keypad (on the wall between the large picture window and the door).
  • Turn ON gallery lights on the side wall by the back wall and turn OFF the fluorescent lights.
  • Bring out gallery sign and place on sidewalk outside close to the street (with arrow facing toward the plowhaus)
  • Bring in mail.
  • Look over gallery handbook and list of current volunteer tasks to see if there are any upkeep jobs you can do.
  • Answer telephone with "Hello, Plowhaus Artists' Cooperative".  Take messages down and give to appropriate person.
  • Ask visitors if they have been to the gallery before and ask them to sign the guestbook to be added to our patron mailing list.  Give a card to everybody that comes in--our yearly schedule is on the back!

3. After completing necessary volunteer tasks, entertain yourself:

—unless you’ve successfully persuaded everyone you know to come back during your 3 hour shift then it might not be super busy, so…

A.  Draw
B.  Paint
C.  Photograph
D.  Read  
E.  Clean
F.  Check the bulletin board for jobs that need to be done
G.  Bring your laptop-we have Wireless internet!

We want you to look interested in what you’re doing so the patrons will be interested in your work.  And don’t forget to pick up after yourself if you’ve made a mess.

 
 

HANDLING SALES:

  • When someone indicates that they wish to purchase a piece, check the inventory list to see if the piece is available.
  • If it is still available, take a red dot  and place it on the titleblock next to the piece.
  • Complete a receipt for the sale. Include the following information:
    • the date and show
    • your name
    • the purchaser's name
    • the purchaser's street address and phone number
    • the purchaser's email address
    • the title and artist of each piece sold and the price
    • calculate the sales tax on the item according to the chart on the sales desk or multiply by .0925 and add the tax amount to the subtotal.
    • if the sale is an item from the store, write STORE on the receipt and the inventory ID#.  Then check the item off on the individual artist's inventory list in the folder on the desk.
    • !!! IMPORTANT !!! 
      There are THREE duplicates of each receipt.
      WHITE copy: give to customer
      PINK
      OR YELLOW copy:
      paper clip or staple to money, check or credit card slip and place in box.
      leave 1 receipt in the receipt book.

    • HOW USE THE CREDIT CARD MACHINE:  see photo!  Place card in slot then fit credit card slip over.  Then slide it to make the impression of the info from the card.
      Credit Cards are only accepted for items over $100.  Write all information on the credit card slip as well as a triplicate sales receipt.  Attach the credit card slip to the sales receipt and place in box.
  • Find the piece on the inventory list. fill out the fields for purchaser information. Include:
    • purchaser's name
    • purchaser's street address
    • purchaser's email address
    • purchaser's phone number - very important - and ask them if they would like to be called on Saturday before they need to pickup their art piece.
  • If it is a cash and carry show (value menu, holiday show), wrap the piece if necessary and let the customer carry it out.  We have small brown paper bags and large plastic bags (look in the desk or small table in store area).
  • If it is not a cash and carry show, give the purchaser a Plowhaus card and write down the show closing date. Explain that they may come to pick up their purchased piece then. If the purchaser needs to take the piece the same day they purchased it, please attempt to contact the artist and the curator to let them know this will happen. If a purchaser needs to make alternate pickup arrangements, give them the show coordinator's email and / or phone contact info.  Ask the patron if they want to be called to be reminded to pick up art on the last Sunday of the show.
 
 

CLOSING UP THE GALLERY:

  • Place all receipts and payments in black cash box in bottom drawer.
  • Bring in sign from outside.
  • Shut off gallery lights. Shut all lights except security light (switch by door in upper room).
  • Set alarm

            1. Make sure all doors to the outside are closed (including the door in the upper room).
            2. With the front door closed, enter _ _ _ _ on the alarm keypad.
            3. Exit the building quickly and shut and lock the door (with combination lock).
